Prescreen International GmbH, Mariahilfer Straße 17, 1060 Vienna (hereinafter “Prescreen”, “we”, “us”) operates the e-recruiting system “Prescreen” under the domain * .jobbase.io hereinafter (“jobbase.io”) , on which companies can post job advertisements and receive and manage applications. As part of these activities, Prescreen processes personal data on behalf of and for the purposes of the company with which you want to contact in the context of your application. This company is to be qualified as a body responsible for data protection within the meaning of Art 4 Z 7 General Data Protection Regulation (GDPR). In this relationship, Prescreen acts as a processor within the meaning of Art 4 Z 8 GDPR.

The protection and confidentiality of your data is of particular importance to Prescreen. Of course, your data will only be processed in accordance with the applicable data protection regulations, in particular the Austrian Data Protection Act (DSG), the Austrian Telecommunications Act (TKG), the German Federal Data Protection Act (BDSG) and the German Telemedia Act (TMG). This data protection declaration also complies with all legal requirements that will become mandatory with the entry into force of the European General Data Protection Regulation (GDPR). Applicant master data (first name, last name, title, email address, telephone number, address, date of birth, citizenship)

Qualifications data (cover letter, personal statement, resume, previous experience, professional qualifications and skills)

In order to be ab le to adapt our services to your needs in the future and to enable problemfree use our our website, we calloect statistical information about your surfing behavior on our website ( e.g. which website areas you click on or your log-in times). this data can be recorded for the purpose of support of service optimaziation and, if necessary,  can be viewed by to Prescreen administrator at any time.

3. For what purposes do we process your data?

Your personal data is used for purposes of selecting personnel to fill open positions, in other words for initiating a contract of employment. The necessity and the scope of data collection are determined according to the position to be filled, among other factors. More extensive data collection may be required if your desired position is associated with particularly confidential duties, entails significant responsibilities in the areas of human resources and/or finance, or requires certain physical and mental capabilities. The legal basis is Section 26 (1) German Data Protection Act (BDSG).

If you have declared to us your consent for processing specific personal data, this consent then forms the legal basis for processing of this data.

In the following cases (possibly modified by the customer), we process your personal data on the basis of your consent:

 Inclusion in the candidate pool; in other words, we save your application documents after the current application process in order to consider you in subsequent application processes.

To be added by the company: Possibly other processing scenarios that are based on consent (e.g. forwarding of documents to other group companies / group-wide candidate pool, sending of feedback questionnaire). The data you have already provided in the application process will also be processed.

If we base data processing on your consent, you have the right to withdraw this consent at any time with future effect. Please inform us of this revocation by email to support@prescreen.io. The legality of the processing of your data up to the time of revocation remains hereby unaffected.

4. Cookies

Prescreen uses cookies. These serve for making the online application more user-friendly and efficient. The cookies are technically required in order to make this website available to you. It would not be possible to operate the website without using the cookies. There is therefore no option to refuse use of the cookies.

Apart from our employees, who process your data as part of the provision of our services, we pass on your personal data to the following recipients: To companies that you want to contact as part of your application process. In providing our services, sub-processors support us as IT service providers and as part of hosting services. These are based in Austria and Germany. If other processors are commissioned with maintenance work, these processors can get access to your data in the course of their work. In such a case, Prescreen contractually obliges the processors to comply with the applicable data protection regulations, as well as the data protection and confidentiality regulations according to this contract. Prescreen may be legally obliged to surrender your data if it is necessary to assert, exercise or defend legal claims of the client before an authority. If Prescreen wishes to use your data in a way that goes beyond what is described above, Prescreen will obtain your express consent in advance

6. For how long is your data stored?

Personal data of rejected applicants will be stored for a maximum of six months, starting on the day the application is rejected. If you prefer a longer storage period in the course of your application process (e.g. to continue your application process later), we ask you to make these settings accordingly when you register. Longer storage periods can also result from the fact that the data is necessary to assert, exercise or defend legal claims before an authority or that there are statutory retention requirements. The data will be stored for as long as is necessary to fulfill these purposes.
